AI systems designed around your business
Six categories of system. For each one: the problem it addresses, what actually gets built, the number that tells you whether it worked, and when it is the wrong choice.
The smallest useful intervention
We do not start from a technology and look for somewhere to apply it. We start from a problem you can describe and a number you can watch, then build the narrowest system that could move it. A narrow system that shifts one metric is worth more than a broad platform nobody can evaluate.
AI phone and customer-service agents
Answer the enquiries that currently go unanswered
Calls arrive while your team is busy with something else. A missed call usually leaves no record, so its cost never appears in a report and the demand simply goes elsewhere.
A voice and message layer answers or acknowledges inbound contact, handles the questions with stable answers, collects what is needed and hands the rest to a person with the context attached. Anything new, sensitive or ambiguous escalates rather than guesses.
- Primary metric
- Share of inbound calls and enquiries answered within one business day
- Typically a fit when
- Enquiries arrive by phone or message outside the hours you can cover
- A recognisable set of questions recurs week after week
- The cost of a missed enquiry is high relative to the cost of answering it
- Not the right choice for
- Conversations that need professional judgement, carry legal or clinical weight, or where a customer would reasonably expect a person from the first word.
Lead qualification and follow-up systems
Reach interested people before their interest cools
Follow-up competes with delivery work and usually loses. By the time a lead is contacted, they have often spoken to whoever answered first.
New enquiries get an immediate, useful response. The system asks the qualifying questions you would ask, records the answers against the record in your CRM, and either books the next step or routes the lead to the right person with a summary.
- Primary metric
- Median time from first enquiry to first meaningful response
- Typically a fit when
- Leads arrive faster than the team can work through them
- Qualification follows a consistent set of questions
- You already have somewhere sensible to put the resulting record
- Not the right choice for
- High-touch relationship sales where the first contact is the relationship, or markets where automated outreach would damage trust.
Internal knowledge assistants
Stop your team re-finding what someone already knows
Information is spread across documents, inboxes and systems. People re-ask colleagues, work from an out-of-date copy, or make a decision without the part they could not find.
An assistant grounded in your own approved material answers questions in plain language and cites where each answer came from, so it can be checked. It refuses rather than improvising when the source does not cover the question.
- Primary metric
- Minutes per day spent locating information across systems
- Typically a fit when
- The knowledge exists but is scattered across several tools
- The same internal questions surface repeatedly
- Someone can say which sources are authoritative
- Not the right choice for
- Situations where the underlying documents are contradictory or out of date. That is a content problem, and an assistant would only spread it faster.
Workflow and administrative automation
Take the re-typing out of the working day
Information gets read from one place and typed into another. It is slow, it is easy to get wrong, and the cost is spread thinly enough across the team that nobody adds it up.
A workflow extracts the data, validates it against rules you define, and writes it where it belongs. Anything that fails validation is queued for a person rather than pushed through, so errors surface instead of propagating.
- Primary metric
- Hours per week spent on manual data entry, and corrections per cycle
- Typically a fit when
- The same information is entered into more than one system
- The rules for what is valid can be written down
- Volume is high enough that the work is genuinely repetitive
- Not the right choice for
- Processes that change every time they run, or where each case genuinely needs a fresh decision.
CRM and communication integrations
Give the business one record it can trust
Customer information lives in the CRM, in inboxes, in spreadsheets and in someone's head. Nobody is confident which one is current, and no later automation can be trusted on top of it.
We connect the systems that hold customer information so interactions are logged automatically and the record stays current without re-keying. This is often the least glamorous project and the one that makes everything after it possible.
- Primary metric
- Share of customer interactions logged automatically
- Typically a fit when
- Three or more tools hold overlapping customer information
- People re-key the same details between systems
- You intend to automate something that depends on that record later
- Not the right choice for
- A single well-maintained system that already does its job. Integration for its own sake adds moving parts and nothing else.
Custom AI applications
When the need does not fit a standard pattern
Some workflows are specific to how your business operates. Forcing them into an off-the-shelf product costs more in workarounds than the product saves.
A small application built around one workflow, using the tools you already run rather than replacing them. Scoped narrowly, with the boundary of what it does and does not do written down before development starts.
- Primary metric
- Cycle time of the targeted workflow
- Typically a fit when
- The workflow is central to how the business earns or delivers
- Existing products need substantial workarounds to fit it
- The outcome can be stated as a number before anything is built
- Not the right choice for
- A first project. Custom work is the right answer once a narrower intervention has proved the opportunity is real.
